The Manitoba Games
The Challenge
The Power Smart Manitoba Games are held every two years and comprise dozens of events taken from 12 core sports and over 3,500 participants from all around the province. More than 1,600 of the initial participants eventually advance to the finals. Sport Manitoba needed a way to manage personal information for those thousands of participants from diverse regions around the province. From the initial 3,500 participants, they also needed a way to identify the 1,600 finalists, and eventually print accreditation badges for each of them. Sport Manitoba also needed a quick and easy way to get the results of the many matches in the numerous events to participant’s friends and family around the province that weren’t able to physically attend the games.
The Solution
Given the geographic distribution of the users around the province a centralized solution wouldn’t suffice. IDfusion created a desktop application which would securely connect to a database accessible from anywhere with an internet connection. This application allowed Sport Manitoba an easy way to enter and manage personal, medical and event registration information for each of the participants from different regions by managers in those regions. A web site was also created allowing participants an alternative to the old mail-in registration forms. Web-base registration allowed participants information to be entered directly into the database by the participant where it could then be viewed and maintained by managers using the desktop application. The desktop application
didn’t only allow maintenance of participant information, however, it also acted as a means to enter results for each sporting event, and have those results published on-demand to a web-site also developed by IDfusion Software.
The Results
This geographically diverse set of users was able to come together to maintain and work on one enormous amount of data, simplifying the organization of one massive sporting event. Sport Manitoba employees and volunteers were able to register over 3,500 participants for the Regional Qualifiers, and 1,300 Provincial finalists. They were able to search through and maintain that list of participants and their details from anywhere with internet access. In conjunction with a piece of off-the-shelf accreditation software they were able to utilize the data in the database to print photo badges for each of the 1,300 Provincial participants. Additionally, volunteers were able to easily enter results for each sporting event and have those results published to the web on-demand allowing anyone in the world to see the scores and winners develop almost as the events occurred. When the next games rolled around in two years, Sport Manitoba would have an easily portable and proven solution to make future games easier to organize than ever before, regardless of where the next events were to be hosted.
