Western Canadian Music Alliance
The Challenge
Western Canadian Music Alliance was planning an intensive three-day conference in conjunction with the Western Canadian Music Awards. The conference would include over 20 international guests, 60 Canadian professionals and 300 delegates and would give industry professionals from around the world a chance to meet one on one. The WCMA needed a way to manage the information and activities for the week and develop a way for the delegates and industry professionals to set meetings, maintain their bios and choose their workshops. Identifying meeting time availability and managing bio information manually for all participants was not feasible. With conference planning and management coordinated from offices in both Winnipeg and Saskatoon, the WCMA also needed a tool that would allow staff in either location to manage the central database of conference information.
The Solution
Upon evaluating the parameters of the project and how the information would flow IDfusion created a database and desktop application that allowed WCMA administration to maintain all information relating to the event from any location with Internet access. A Web based meeting manager application was also developed that enabled all attendees to schedule meetings with one another, maintain their bios and sign up for conference workshops online. The application allowed for information in the conference database to be managed both from the Web and from multiple desktops at the same time.
The Results
Because the manual aspects of arranging meetings, changing bios and developing and printing itineraries were now handled electronically through the application, WCMA staff spent less time on administration and more time on promotion of the event. This helped contribute greatly to the conference’s success. Also, with the infrastructure now in place, the time required to manage future conferences (such as next year’s conference in Calgary) will be reduced significantly for the WCMA.
